How to read a German BWA as a management report

What does this BWA actually tell you to do? A BWA is an interim view based on financial-accounting data and is commonly available each month. Start with three comparisons: current month against prior period, year to date against the prior year, and actual against plan. Find the deviation that deserves an explanation. Consider a simple example. Revenue is eight percent above the prior year, but the gross margin falls from forty-two to thirty-six percent. The headline says growth; the margin says that pricing, purchasing or the sales mix may have changed. Then personnel and external-service costs rise faster than revenue. The useful question is not whether one line is high. It is which driver changed, whether the change is temporary, and who can explain it. Now test result quality with one memory anchor: booked, accrued, recurring. Are all relevant transactions posted? Are services, invoices and period-end accruals in the right month? And are one-off effects separated from the operating run rate? A positive result can still be a weak decision basis when any one of these three checks is missing. Next, look beyond the BWA summary. Use the trial balance or BWA account detail to locate the accounts behind an unusual movement. Review open receivables and payables to understand what is due and overdue. Then compare the profit picture with cash and liquidity. These views answer different questions; together they reveal whether performance, account logic and payment reality tell a consistent story. Turn the review into a monthly management loop. First: what changed against plan, prior period or prior year? Second: why did it change, down to the relevant driver or account? Third: what action follows, who owns it and by when? Record the explanation beside the number. At the next review, test whether the action changed the trend. That creates comparability, accountability and a usable decision history.
